File Management

The Files page in the portal gives clients a central place to access all their files — deliverables from orders, shared documents, and anything uploaded in conversations.

Where files come from

Files in the portal can come from several sources:

  • Order messages — Attachments shared in order conversations by either the client or your team

  • Ticket messages — Attachments from ticket conversations

  • Intake and onboarding forms — Files uploaded by clients when filling out forms attached to orders

  • Direct uploads — Files uploaded directly to the client’s account by your team

The files page

The portal files page shows folders at the top level, followed by individual files. Clients can click into a folder to see only the files inside it, with a breadcrumb to navigate back to the home view.

Each file shows a preview thumbnail (for images) or a type icon (for PDFs, CSVs, ZIPs, and other formats), along with the file name and creation date. Clicking the file name opens the file in a new browser tab. If the file is attached to an order, ticket, or onboarding form, the name of that item is shown below the file name and links to it.

Order and ticket files

In addition to the main files page, clients can view files specific to a single order or ticket. These pages are accessible from within the order or ticket detail view and show only the files attached to that particular item.

Managing files as an admin

From the admin panel, you can see all files for a client on their profile page under the Files tab. The admin view includes the same uploader filters (All, Client, Agency) and folder navigation as the portal.

You can upload files directly to a client’s account using the upload button, or view files attached to specific orders and tickets from their respective detail pages.

Folders

You can organize files into folders from the admin panel. Create new folders using the Folder button on the client’s Files tab. Folders can be renamed, deleted, and shared via a public link. When a folder is deleted, its files are moved back to the home directory.

Bulk operations

In the admin view, you can select multiple files using the checkboxes and perform bulk actions: move them to a different folder, or delete them. Deleted files are soft-deleted and permanently removed after 14 days.

Sharing files

You can generate a public share link for any individual file or folder from the actions menu. This creates a direct URL that can be shared with anyone, even if they don’t have a portal account.
