File Proofing
File proofing lets clients review image deliverables right in the portal. They click on the image to leave a comment on the exact spot, then approve the file or request changes, so feedback stops arriving as “move the logo a bit to the left” in a long email thread.
Sending a file for review
When you reply to a client on an order and attach an image, toggle on Client review for that file. The Send button shows how many files are going out for review, and the client gets your message as usual with those files marked as awaiting their review.
To send a file that’s already on the order, open the order’s files, click the file’s menu and choose Mark as deliverable.
Comments and pins
Click Open proofing on a deliverable to open it. Click anywhere on the image to drop a numbered pin and leave a comment there. Each pin has its own thread, so you and the client can reply to each other, and you can @mention your team.
To show what they mean, clients (and your team) can attach up to 5 images to a comment with the paperclip, like a reference photo or a screenshot.
Click Resolve once a comment has been handled. If it needs another look, Reopen brings it back.
Approving or requesting changes
The client clicks Approve or Request changes. Requesting changes needs a note or at least one pin, so you always know what to fix. The decision is posted to the order’s messages, and the file shows as Approved or Changes requested.
If they change their mind, they can click Undo my decision.
Uploading a new version
When changes are requested, click Upload new version in the proofing view. The new file goes up for review and the version number goes up with it. Pins from earlier versions stay visible (greyed out), so you can check every comment was covered.
Only your team can upload new versions.
What clients see
Files waiting for review show under Files in review on the client’s order page. Clicking View file review opens the image, where they can leave pinned comments and approve or request changes. They can also open proofing from the order’s Files page.
Your team gets notified when a client comments, replies, mentions someone or approves a file.
